POSITION: 

Finance & HR Operations Manager

The Finance & HR Operations Manager at Qualigence is a pivotal role, ensuring the seamless operation of our financial and HR functions. You will oversee all operational administrative activities across Qualigence and its entities, including Accounts Receivable/Accounts Payable, HR Reporting & Administration, and leading a small team of administrators. You’ll work closely with the Chief Operations Officer (COO) to drive efficiency, protect company assets, and maintain compliance with financial and HR regulations.

What You’ll Do:

Finance Operations Responsibilities:

  • Oversee all daily finance operations, ensuring accuracy and efficiency in Accounts Receivable, Accounts Payable, and reporting.
  • Maintain a low accounts receivable balance, ensuring it’s kept under 10% of open balances.
  • Manage contracts, SOWs, client/vendor setups, and RFPs, ensuring timely and accurate execution.
  • Implement and manage an expense process, ensuring all expenses are approved and paid promptly.
  • Ensure timely reconciliation of bank and credit card statements within 5 business days post-month end.
  • Provide regular and ad-hoc financial reports to the organization and leadership team, ensuring clarity and relevance.

HR Operations Management:

  • Oversee daily HR operations, including onboarding, salary and benefits management, retirement administration, payroll reporting, compliance, and employee relations.
  • Lead an HR administrator, ensuring the effective management of personnel files, employment letters, payroll, benefits, and internal recruiting processes.
  • Serve as a backup for HR functions, ensuring smooth operations in onboarding, compliance, and employee relations.
  • Manage the internal recruiting process, from job postings to interview scheduling with hiring managers.

Additional Responsibilities:

  • Support additional administrative needs, including supply ordering, mail management, and guest reception.
  • Prioritize team development, ensuring cross-training and continuous improvement in processes.
  • Continuously explore alternative solutions to enhance operational efficiency.
  • Take on additional responsibilities as needed to support the company’s growth and operational success.

What You’ll Bring:

  • A strong ambition to grow and drive results.
  • Proven leadership skills with at least 3 years of experience in Accounts Receivable/Accounts Payable.
  • Proficiency in QuickBooks or a similar ERP system.
  • Exceptional organizational skills with a detail-oriented mindset.
  • Excellent time management skills and proficiency in Excel.
  • The ability to build and maintain strong relationships with clients, vendors, and team members.
