Administrative Assistant

FLSA Status: Non-Exempt

Job Summary

The Administrative Assistant is responsible for providing administrative support for the Operations Department. This individual will serve as the company receptionist and will assist with various administrative functions. The Administrative Assistant will have strong interpersonal skills and will be able to establish personable, respectful, and trusting relationships with clients, vendors, financial institutions and employees. This position will report to and work closely with the VP, Administration, providing timely and accurate communication regarding project status.

Detailed Responsibilities:

Serve as the faceplate of the company.
Answer phones, greet visitors and handle incoming mail.
Assist as needed with data entry.
Provide administrative support to managers as needed.
Serve as backup for preparation of daily reports.
Assist as needed with entering research data from Excel sheets in accurate and professionally prepared reports for distribution to clients and BDO’s.
Prioritize client assignments based on deadlines and client urgency.
Document time spent on each project with complete accuracy to ensure that client invoices are correct.
Communicate professionally and accurately when emailing reports to clients and internal staff members.
Report directly to the VP, Administration regarding the status of projects so that workload can be managed appropriately.
Be an effective team player in an atmosphere where the overall objective is to meet our clients’ deadlines.

Position Requirements and Competencies:

Strong phone, interpersonal, verbal and written communication skills.
Strong knowledge of Microsoft Windows-based applications, especially Excel.
Highly organized and detail-oriented with the ability to multi-task in a fast-paced
environment. Client service focused.
Must display dedication to the role and a commitment to company Core Values.


Bachelor’s Degree or equivalent experience.
